Cloud AccountingWe are not into cloud-based accounting. In other words, your accounts are saved in pen drives, on laptops, or desktop computers. They are not kept in the ‘clouds’.
However, clients who want to use Cloud accounting can do so by buying a cloud accounting software and also the annual license fee. You and your staff will need some training experience to use.

There are many accounting software in the market that incorporate cloud accounting. We can help you implement cloud accounting on as many computers/devices as you like from the vendors, and devise the chart of accounts, and start using it.
What is ‘cloud’“cloud” is a technology or IT term refering to a location in any parts of the world where computer servers are kept. In the servers, software programes are kept and there are thousands of KB storage space for data. Any devices with an internet connection can connect to the servers and make use of the software programe there, to keep, save, retrive, print a hard copy of your data, download on anything that is digital from the server, for eg. pictures, movies, tutorials, graphs, power point, websites, maps, news items, accounting records like a full sets of accounts. The list is not exhausted here. There are so many more digital items out there in the ‘clouds’ servers located in towns and cities, in small offices or large buildings, in as many parts of the world where owners of the servers and software programe would like it to be located.

In order to access the data and make use of the software program from the ‘cloud‘ servers, like watching movies, you buy a license from, for eg.from‘Neflik’, ‘realplayer’ etc, although some will offer free movies on a trial basis. If you want to use ‘word’, ‘excel’ ‘power point’ ie microsoft office from the cloud, you will need to pay a license fee to Microsoft, the copyright owner of ‘microsoft office suite’ so that you can access their servers which contain ‘microsoft office‘. So similarly, you can use ‘cloud accounting software’ by buying it from the vendors and owners of them like, SQL, QNE, quickbooks and any others and start using it on your devices with internet connections wherever you go to in any part of the world.

This is the era of the ‘cloud computing’. But mind you, many many companies esp. the smaller one, over 60% prefer the traditional way of the accounting software being resided in the “C” drive of their laptops or desktop computer and use it directly from the computer without internet connection. It is the same with microsoft office. Use it from C drive or get it from the Cloud. It is your choice. Perhaps you would have both.

Our nine squares management chart for all businesses drawn by our accounting officer.
In our 9 square Business Mangement chart (not an organisation chart), of a Sdn.Bhd. company, it shows that the Boss occupies the central square. He has most control over administration, marketing, purchasing and production. These are the monies sectors, all the 3 squares in orange occupying the first row. These are most important in any businesses.

The second row in purple are the reporting sectors which is the Human Resource square and the Accounting square. One is reporting on the human capital, personnels and wages and monitoring it. The other is reporting on the cashflow where the monies are received and spent and the reserves it has and reporting it in the ledgers, profit and loss accounts, and the balance sheet.

The boss also has good control over the Human Resource and Accounting & Finance sectors. However these two sectors can be outsoured to 3rd party HR firms and to Accounting firms to do their full sets of accounts for financial reporting.

It will saves cost and time for the boss when payroll and accounting are outsourced to professional individuals or firms to do. The boss will have more time concentrating on the money sectors of sales and marketing, purchasing and production, and the overall administration of his business.

The last row of the 3 squares in green are occupy by i) Tax Agent, (ii) Company Secretary, and (iii) the Auditor. They are the guardian of the law and they work independently. The boss has least or no control over them and we just termed them as “policemen”. They are to keep the company safe, the investors safe, and others safe to rely on their financial statements which should be timely and truthful.

Well, it is mandatory to have these “policemen”, but it will be too late too little if someone were to tell you that the financial statements of a company is not truthful and should not be rely on after 2 or 3 years later. We hope this doesn’t happen but it will be catastrophe if it happens to a Public listed company.
